You enable it on a VM, pick a policy, and recovery points start appearing. The invoice is where it stops being simple. The first bill often carries line items nobody planned for: a fee for every protected item, storage that grows with each recovery point, snapshots billed on a different meter, and backups still billing for machines that were deleted months ago.

None of it is hidden, exactly. It is spread across Microsoft’s pricing page, a handful of documentation articles, and a calculator that asks questions most teams cannot answer on day one. This guide pulls it into one place: how the two core meters work, what each workload costs, where the extras come from, worked examples with the arithmetic shown, and eight ways to lower the bill without weakening your recovery position. If you are new to the service, our overview of what Azure Backup protects and why it is worth using covers the basics before we get to the money.

Short answer

Azure Backup bills two things: a monthly protected instance fee for every item you back up (for a VM, $10 per 500 GB of data, and half that up to 50 GB) and the backup storage those recovery points use (from $0.0224 per GB per month on LRS to $0.0448 on GRS). Everything else on the bill, such as snapshots, extended soft delete and restored resources, follows from choices you make around those two meters. Prices in this guide are East US list prices checked in October 2026.

How Azure Backup Pricing Works

Azure Backup bills on two meters, and almost every question about the invoice comes back to one of them.

The protected instance fee is a monthly charge for each item you back up: a VM, a SQL Server database server, an Azure file share account, an on-premises server. It is sized by the amount of data on the source, measured before compression and encryption. For a VM it reflects the data actually stored on the disks, not the provisioned size of each disk, so a 128 GB disk holding 30 GB of data is priced as 30 GB.

Backup storage is a monthly per-GB charge for the recovery points held in the vault. It depends on how much data changes each day, how long you retain recovery points, which redundancy option the vault uses, and whether a recovery point sits in the Standard or Archive tier.

Three details shape both meters. First, each needs its own tuning: shortening retention lowers the storage line but never the instance fee, and shrinking a VM lowers the instance fee but not what already sits in the vault. Second, the instance fee keeps billing for as long as backup data exists for that item. Third, restoring from the Standard tier carries no transaction or egress charge, according to Microsoft’s pricing page. What you pay for is whatever you restore into.

Two meters drive the bill. A third group of costs sits on other meters and is easy to miss.

Protected Instance Fees by Workload

The instance fee differs by workload because the work Azure does differs. A plain VM sits at the low end, database workloads cost more, and some newer workloads have their own meters. For VMs the rule is simple: half the unit price up to 50 GB, one unit for 50 to 500 GB, and one additional unit for each further 500 GB. A VM holding 1.2 TB of data is therefore three units.

Workload

List instance fee (per month)

What to know

Azure VM

$10 per 500 GB, half that up to 50 GB

Sized on the data actually stored, before compression. Your region, agreement or CSP pricing will differ.

Two things in the table are worth a second look. The SQL Server fee is two and a half times the VM fee for the same machine, which matters if you protect both the database and the VM (more on that below). And “none” in the instance column does not mean free: operational Blob backup and managed disk backup still bill for the snapshots and storage features they depend on.

Backup Storage Costs: Redundancy, Tiers, and What Makes Storage Grow

Storage is the meter that moves most as an environment matures, because it compounds: every retained recovery point adds to it. Three choices set its size and price.

Redundancy: LRS, ZRS, GRS and RA-GRS

New Recovery Services vaults default to geo-redundant storage. That default is a sound one for production data, since Microsoft recommends GRS for mission-critical workloads that must survive a regional disaster. It is also the most expensive Standard option short of RA-GRS: GRS lists at exactly twice the per-GB price of LRS. Microsoft’s guidance is to set redundancy before you protect your first workload, because it cannot be changed once items are protected, so this decision belongs at vault creation, not at the first invoice.

Storage option

List price per GB per month

Use it when

Standard LRS

$0.0224

Dev and test, or data you can rebuild. Your region, agreement or CSP pricing will differ.

One more redundancy detail: Cross Region Restore, which lets you restore into the paired region even when your primary region is healthy, requires GRS and upgrades the vault’s storage to RA-GRS. At list prices that is about 27 percent more per GB than plain GRS, a fair price for audit-ready regional restore drills but not something to switch on by default for every vault.

What makes storage grow

A reasonable model for VM backup is the first full copy of the used data, plus the data that changes each day, multiplied by the days of retention. Weekly, monthly and yearly points add more on top. Compression can reduce what is stored, but it does not reduce the instance fee, which is calculated before compression. Retention is the lever that surprises people: Microsoft’s Enhanced policy template defaults to 180 days of daily points, 12 weeks of weekly points, 60 months of monthly points and 10 years of yearly points. That is a defensible starting point for some regulated workloads and an expensive one for a file server whose data you could rebuild.

The Archive tier

Archive storage exists for long-term retention, and the price gap is large: on LRS, Archive lists at about 17 times less per GB than Standard. Holding 1,000 GB of retained data for a month costs $22.40 in Standard LRS against $1.30 in Archive LRS, or $44.80 against $4.00 on GRS. The trade-offs are real, though:

Only certain recovery points qualify. For VMs, that means monthly and yearly points that are at least three months old with at least six months of retention left. For SQL Server and SAP HANA in VMs, it means full points at least 45 days old with six months of retention left.

A 180-day minimum stay applies. Delete a recovery point early and you are charged the remaining days at the Archive price.

Restoring requires rehydration and carries a one-time retrieval fee, so Archive is for points you rarely expect to restore.

Where a recovery point is stored decides how it is billed and how fast it restores.

Microsoft’s own Archive tier documentation lists the current eligibility rules, which have widened over time, so check it before you design a long-term policy around them.

Costs That Are Not on the Pricing Page

The two main meters explain most of a backup bill. The remainder comes from charges that sit on other meters or only appear after a particular decision.

Instant restore snapshots. For VMs, Azure Backup keeps recent snapshots next to the disks so restores are fast. They are billed as managed disk snapshots, at the Standard HDD rate regardless of the source disk tier. The default retention is two days, the Standard policy allows one to five, and the Enhanced policy allows one to thirty. Microsoft’s formula for the Standard policy is snapshot retention days multiplied by daily churn per VM multiplied by the snapshot price per GB.

Stopped protection that keeps billing. Covered in the callout below. It is the most common source of “why are we still paying for that VM.”

Soft delete beyond 14 days. The default 14-day soft delete window is free. Configure a longer window and the extended period bills at regular backup rates.

Cross Region Restore. Enabling it moves the vault from GRS to RA-GRS pricing, as above.

Early deletion and Archive retrieval. The prorated fee for removing Archive points before 180 days, and the retrieval fee when you restore from Archive.

Reports and monitoring. If you send backup reports or diagnostics to a Log Analytics workspace, the data is billed at that workspace’s ingestion rates.

What you restore into. Restored disks, virtual machines and their compute bill at normal Azure rates.

Double protection. Each backup type has its own meter, so a SQL Server VM protected at both the VM level and the database level carries two instance fees and two sets of recovery points. That can be the right call, but it should be a decision.

Failover. Azure Backup restores data. If you also want to bring workloads up in another region, that is Azure Site Recovery, which is priced separately. Our comparison of Azure Backup and Azure Site Recovery explains how the two fit together, and our Azure disaster recovery service covers the failover side.

Stopped is not free

If you stop protecting a VM but keep its backup data, billing continues. Billing for the VM ends only when protection is stopped and all of its backup data is gone.

Worked Examples

The examples below use the East US list prices above, and state their assumptions so you can swap in your own. Instant restore snapshots and Log Analytics are left out, since both depend on settings that vary by team.

Example 1: ten VMs, 200 GB each

Each VM holds 200 GB of data in the 50 to 500 GB band, so each carries a $10 instance fee, or $100 for the ten. We assume a 2 percent daily change rate. With 30-day retention, each VM stores its 200 GB plus 30 days of 4 GB changes, which is 320 GB, or 3,200 GB across the estate. With 90-day retention that becomes 560 GB per VM, or 5,600 GB.

Scenario (10 VMs, 200 GB each)

Instance fees

Backup storage

Monthly total

30-day retention, LRS

$100.00

$71.68

$171.68

30-day retention, GRS

$100.00

$143.36

$243.36

90-day retention, LRS

$100.00

$125.44

$225.44

90-day retention, GRS

$100.00

$250.88

$350.88

East US list prices in USD, taken from Microsoft’s Retail Prices API in October 2026. Your region, agreement or CSP pricing will differ.

The same ten VMs, with identical data, cost anywhere from $171.68 to $350.88 a month depending on two settings, a spread of more than 2 times. Moving from LRS to GRS adds about 42 percent at 30-day retention. Tripling retention from 30 to 90 days adds 75 percent to the storage line and about 31 percent to the LRS total. Neither change touches the instance fees.

Example 2: one 1.2 TB file server

A file server holding 1,200 GB of data is three 500 GB units, so its instance fee is $30.00 a month. With the same 2 percent daily change and 30-day retention it stores 1,920 GB: 1,200 GB for the first copy plus 30 days of 24 GB changes. That is $43.01 a month in LRS storage or $86.02 in GRS, so the monthly total is $73.01 on LRS or $116.02 on GRS. Large machines are dominated by storage rather than the instance fee, which is why retention and redundancy matter more here than the number of VMs.

Example 3: a SQL Server VM protected twice

Take a VM holding 400 GB of data that also runs SQL Server. A VM-level backup carries one $10 instance fee. Add a workload-aware SQL backup and a $25 instance fee joins it, so the instance fees are $35 a month before any storage, and both sets of recovery points occupy the vault. If you need point-in-time database recovery, the SQL backup is the one that provides it, and the VM backup may be redundant. If you only want a machine-level safety net, the VM backup alone may be enough. Either answer is fine. Paying for both by accident is not.

MICROSOFT SOLUTIONS PARTNER | TIER-1 CSP

Get Your Backup Costs Reviewed

Apps4Rent designs retention and redundancy around your recovery requirements, right-sizes what you protect, and monitors backup health every day, so you pay for the protection you need and nothing you do not.

Retention Right-SizedDaily Monitoring Reports24/7 Support

Microsoft Solutions Partner Designations

Infrastructure (Azure)Data & AI (Azure)Digital & App Innovation (Azure)Modern WorkSecurity

See Azure Backup ServicesCall 1-866-716-2040

Eight Ways to Lower Your Azure Backup Bill

Backup is one of the quieter lines in Azure spending, but it responds well to the same discipline as everything else. Our guide to Azure cost optimization covers the wider picture. For backup specifically, these eight levers do the most.

Choose redundancy deliberately, before the first backup. Use GRS for production data that must survive a regional outage, and consider LRS for dev, test and rebuildable data. Enable Cross Region Restore only for vaults that need it.

Set retention per workload. Do not accept one long default everywhere. Match daily, weekly, monthly and yearly retention to what each workload actually requires, and see our best practices for Azure backup and recovery for how to balance retention against restore testing.

Move long-term points to Archive. Monthly and yearly VM points that meet the eligibility rules are the best candidates, especially where retention runs for years.

Exclude disks you do not need. Selective disk backup lets you leave out scratch and rebuildable data disks, and the instance fee follows the disks you include. Note that with the Standard policy, snapshots are still charged for every disk on the VM.

Keep instant restore short. Two days is the default. Each extra day adds snapshot storage proportional to your daily churn, so extend it only where fast restores really matter.

Sweep for orphaned backups. List items in the stopped-protection state every quarter. If a VM has been decommissioned and you no longer need its recovery points, delete the data so billing actually stops.

Avoid accidental double protection. Decide per workload whether the VM, the database or both need backup, and document the reason.

Enforce it with Azure Policy. Backup policy settings can be passed as parameters in an Azure Policy assignment, so new machines inherit the right retention and redundancy instead of drifting. Put them together like this:

Instance fees: the sum of the fee for each protected item at its size band.

Vault storage: stored GB multiplied by the per-GB price for your redundancy and tier, where stored GB is roughly the used data plus daily change multiplied by retention days, plus the weekly, monthly and yearly points.

Snapshots: for the Standard policy, snapshot retention days multiplied by daily churn per VM multiplied by the snapshot price per GB. For the Enhanced policy, VM size plus one fewer than the retention days of churn, multiplied by the snapshot price per GB.

Adjacent costs: any Log Analytics ingestion, extended soft delete, and Archive retrieval you expect.

Run those figures against your own region and agreement, since list prices differ by region and CSP pricing differs again. Add a buffer for data growth, and compare your estimate against the first invoice after a full retention cycle, since storage keeps climbing until the oldest recovery points start expiring. If you would rather not build the model by hand, our free AI Azure pricing calculator designs an environment from a plain-English description and prices it across regions, with Azure Backup as one of the line items. For a backup-specific estimate, send us your inventory and retention requirements and we will build it for you.

Native Azure Backup vs Third-Party Backup Tools

Teams often ask whether Azure Backup is the cheapest way to protect Azure workloads. For an estate that is mostly Azure VMs, SQL Server and file shares, native Azure Backup is usually the baseline to beat: there is no software license to buy and no backup infrastructure to run, and the pricing model, though it has several meters, is transparent once you understand it.

Third-party tools earn their place in different situations. Multi-cloud estates, specialized applications and organizations that want a single console across providers may accept extra cost for broader coverage. The mistake is comparing per-GB storage prices alone. A fair comparison puts the same retention, recovery objectives and workloads through both models and totals everything: licenses, the vendor’s own storage, the Azure resources it needs to run, and the time to administer it. Run that comparison once, with real numbers, before you assume either answer.

Managing Backup Costs Yourself vs Having Them Managed

None of the levers above is hard. The difficulty is that they are recurring. Retention needs reviewing as the business changes, orphaned backups appear every time a machine is retired, and the one restore test that proves your policy works has to actually happen. Backup is also a line item that nobody owns until something breaks or the invoice jumps.

That is the core of the case for managed backup, and it connects to a point we make in our breakdown of what Azure managed services cost: you pay for the Azure resources and for the people who operate them, and the second bill is usually smaller than the cost of the mistakes it prevents. If you want to keep it in-house, build the quarterly sweep and the annual retention review into someone’s calendar. If you do not have the hours, a provider can run both for you.

How Apps4Rent Handles Azure Backup

Apps4Rent is a Microsoft Solutions Partner and Tier-1 Cloud Solution Provider, SOC 2 Type II certified, serving over 10,000 businesses since 2003.
